General Information

Printed menus are available as a general guideline. Our catering specialists and Chef welcome the opportunity to customize a menu to meet your specific taste or event theme. Because our food is prepared fresh, the Chef reserves the right to make slight substitutions in the unlikely event that an ingredient or item is out of season or unavailable. Also, note that due to market fluctuations, all menu items are subject to change.

Guarantees
Confirmation of the number of persons attending your event is required by 10:00 a.m. five business days prior to the event date. If a confirmation is not received, the expected number of guests on the Catering Agreement will be considered the guarantee. The guarantee number is not subject to reduction. Substitutions may be made for dietary and/or religious purposes. Any such substitutions must be arranged no later than 3 business days prior to the function. Should the guarantee need to be increased within 72 business hours of the event, the room will be set for only the final guaranteed number of guests. The Power Center cannot be responsible for service, accommodations, or guaranteeing the same menu items for more than 5% over the guarantee for events with an attendance of less than 500 people and 3% over the guarantee for events with an attendance of more than 500 guests. Any revenue generated by adjustments made to the guaranteed number of guests is due upon completion of the event. Changes in room set-up made by the client, client’s representative, or on-site contact within 72 hours will be subject to an additional labor charge.

Room Assignments
Function Rooms are assigned according to the anticipated number of guests and set-up requirements at time of booking. The Power Center reserves the right to transfer groups to other function rooms with accordance to the guaranteed attendance.

Function Room Rental Waivers
Agreed upon room rental with food and beverage service is waived if food and beverage meet the minimum room rental. All food and beverage items (exclusive of tax and gratuity) will apply to the minimum. If the food and beverage subtotal does not meet the room minimum, the difference will be charged as a Room Rental Fee.

Outside Catering
The Power Center is responsible for all catering of food and beverage. Food and beverages may not be removed from the premises. No outside caterer can be engaged for events held here. Wedding cakes and cakes are the only exception. There will be an additional fee to cut and serve cakes.

Service Charge and Sales Tax
A 24% Service Charge and 8.25% Texas State Sales Tax will be added to all food and beverage purchases. Texas law requires that the Service Charge be subject to State Sales Tax.

Deposits and Payments
A non-refundable deposit of $1000.00 will be required to confirm your event. Fifty percent (50%) of the estimated balance is due 30 days prior to the function date, and the remaining balance must be pre-paid five business days prior to your event as contracted unless credit has been established with The Power Center.

Audio/Visual Services
We recommend you use our certified in-house vendor. You may select a vendor of your choice certified in audio/visual services. All outside vendors must provide equipment or coordinate with in-house vendor for access to our equipment. Access charges may apply.

Centerpieces and Decorations
We will be pleased to coordinate the services for centerpieces, special props, and sculptures to create a particular theme and/or decor. Any other decorations, such as banners or streamers, must be mutually agreed upon before the event. Mirror tiles and votive candles can be provided at no additional charge. The Power Center does not permit the affixing of anything to the walls or ceilings. All signs and decorations must be pre-approved by the Catering Sales Staff. All decorations must meet with the approval of the City of Houston Fire Codes.

Security
Uniformed Courtesy Officers are required to be on-site during all events or functions. One courtesy officer is required per 100 guests. Additional officers and charges may be required based on the nature of the event.

Shipping and Receiving
Packages and banners for meetings and events should be delivered to the Conference Center no more than three (3) business days prior to the event date. When shipping packages to The Power Center, please indicate the following information: (a) Sales & Catering Office, (b) Group and Contact Name, (c) Meeting Name, and (d) Meeting Date. All packages will be delivered to your meeting room prior to the start of the function.

Vendors and Exhibitors
Vendors and exhibitors may have display items delivered to the Conference Center one day prior to the event between the hours of 9:00 a.m. – 5:00 p.m. The group name, contact person, and date of event should be included on all deliveries.

EVENT TIPS

Tip 1
Send kids home with fun, thoughtful goodies. For a pirate theme, think eye patches, bandanas, pirate hats and hooks. For a punky princess theme, offer sequined hair bands, neon accessories and fun sunglasses.

Tip 2
No matter the type of event you’re planning, you need to map out a strategy. What’s the goal of your event? Are you introducing a new product or service to customers? Running a demo for analysts or prospects?
Whether your end goal is to get in front of key influencers or present before a group of executives, you’ll want to whiteboard a strategy. Look at your ideal audience, what message will resonate with them and how you are going to measure results. Remember, you’ll have no clue whether your event was a bust or boon unless you have the right metrics.

Tip 3
When planning a meeting keep in mind the things attendees hate: waiting in line, jam-packed schedules, PowerPoint, being talked at by speakers, bad food, misspelled name badges, bad signage, poor e-mail marketing, websites with no contact info and having to pay for Wi-Fi.

Tip 4
Dessert is a good place to go for the wow factor. Face it, attendees can not like the salad, find the meal just OK, but if you wow them with the dessert, they’ll remember the whole meal as being fantastic.

Tip 5
Request that speakers send you a list of six people you can call for a personal phone reference. When they give you the list, be sure to call the last three on the list. This will ensure that you are getting a true assessment, since most people will list the best references first.
